This position is located in the Gallatin County Treasurer’s Office and is responsible for a variety of administrative duties, processes incoming tax payments, assists in collecting delinquent taxes and assists the office with various tax activities. This position reports to the County Treasurer and Tax Supervisor and does not supervise other staff.

Each duty listed below makes up at least 10% of the job and all other functions are included in other duties as assigned. All duties below are essential functions unless otherwise indicated.

ADMINISTRATIVE DUTIES

  • Greets visitors in person and by telephone, responding to questions or locating the appropriate staff or office.
  • Conducts routine office duties including copying, faxing, emailing, etc,
  • Coordinates and processes all daily incoming and outgoing mail.
  • Maintains, stocks and takes inventory of all office supplies, i.e., paper, envelopes, forms, receipts, etc.
  • Prepares office invoices/claims for payment and entry into MUNIS
  • Prepares change orders from the bank as necessary
  • Counts and reconciles Motor Vehicle daily receipts

TAX PAYMENT PROCESSING

  • Assists taxpayers, mortgage and title companies, and other interested parties by identifying taxes owed, preparing payoff information and explaining applicable payment requirements
  • Collects and records appropriate taxes and fees in the tax software, reconciling the two at the end of the work day
  • Prepares correspondence and returns insufficient payments to the taxpayer or interested party, including those that are unsigned, written for the incorrect amount, incomplete in their contract lines or are owing penalty and interest
  • Prepares and approves partial payment contracts for delinquent mobile home owners
  • Delivers refund information to the Tax Supervisor for approval and processing
  • Assists the Treasurer with adjusted valuations and tax assessments as determined by the Department of Revenue
  • Scans tax payments to into the tax software
  • Prepares physical and electronic bank deposits daily

SUPPORT FOR THE TREASURER AND TAX SUPERVISOR

  • Assists with review of draft tax bills
  • Assists with the collection and confirmation of mill levies
  • Assists with mailings including delinquency notices and all others required by law
  • Assists with tax lien sales, the assignment and redemption processes, and property auctions
  • Prepares reports as requested
  • Prepares, files and tracks all in office filings of liens and assignments

OTHER DUTIES AS ASSIGNED

This position performs a variety of other duties as assigned by the Treasurer and Tax Supervisor. This includes coordinating special projects and events, system research and analysis, attending meetings and special events, as well as continuing education and training as required. If the County Commission proclaims a local emergency due to an actual or threatened disaster such as an earthquake, fire, riot, flood, etc. County employees may be required to provide services during the emergency and for a subsequent period of assessment and recovery.

QUALIFICATIONS:

This position requires knowledge of standard office procedures, record keeping, and use of modern business machines. This position requires strong computer skills in Microsoft Office products, proficiency in the use of the internet and various other office software systems, and have the ability to type and use a 10-key with accuracy. This position must be able to communicate professionally and effectively both verbally and in writing using proper spelling and grammar, greet and receive the public with courtesy and tact at all times – including during situations that may be confrontational and unpleasant, follow written and oral instructions, and maintain cooperative relationships with customers and coworkers. The person in this position must also have the ability to think analytically, multi-task, prioritize, and organize.

EDUCATION & EXPERIENCE:

The required knowledge, skills and abilities are typically acquired through a combination of education and experience equivalent to a high school diploma and one to two (1-2) years of related work experience.

Medical deductible is $400 for an individual and $1,000 for a family.

Paid Parental Leave (PPL)- In recognition of the importance of bonding and care of a newborn child or a child placed for adoption, Gallatin County provides 240 hours of PPL to eligible full-time employees. The hours are pro-rated for part-time employees.
