SCOPE OF POSITION:

The Program Assistant maintains the front office for the Nurturing Center, including greeting participants, clerical work, accepting payments, receiving referrals and monitoring security cameras. This position is responsible for scheduling multiple services, staff and rooms. This position monitors family visitation and perform transports with children. The Program Assistant is responsible for the successful operation of the Nurturing Center in the Program Manager’s absence.

EDUCATION AND WORK EXPERIENCE:

· Bachelor’s degree in social services or a closely related field preferred.

· 18 Months of successful experience directly caring for or supervising children.

· Additional experience may be substituted for education

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

· Be at least 21 years of age.

· Be able to successfully pass a DSHS and Salvation Army criminal background check.

· Be knowledgeable in the areas of client safety assessment and planning, problem-solving and crisis intervention.

· Be capable of visual and auditory supervision of children and adults.

· Have excellent written and verbal communication skills.

· Be capable of deescalating situations with participants.

· Ability to schedule multiple programs, staff, and rooms using various computer software.

· Valid Washington State Driver’s License and for operation of TSA vehicles

· Have successful customer service experience and ability.

· CPR/First Aid training or within 30 days of hiring.

· Blood borne pathogen/HIV training or within 30 days of hiring.

· Current De-escalation and restraint training preferred.

· Washington State Mandatory Reporter training or within 30 days of hiring.

· The Salvation Army Child Safety training or within 30 days of hiring.

· The Salvation Army Driver’s Fleet Safety training or within 30 days of hiring.

· Proof of Negative TB test prior to hiring.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Assist Program Manager with staff monitoring and training

· Answer a multi-line phone system and greet participants

· Lead Administrator and trainer for Oliver Data Management system

· State STRIVE Instructor Qualification

· Approve and submit daily visit/incident reports to Children’s Administration

· Schedule Nurturing Center services, such as visitation, counseling and parent education

· Manage appointments, visitations (in-person/virtual) and transports

· Accept and process payments for services

· Review billing logs to ensure proper documentation and payment.

· Complete and maintain accurate records for billing

· Maintain confidential client information, files, statistics and reporting

· Data Collection and Reporting as required

· Assist in tracking qualifications and training requirements for staff

· Assist in coordinating trainings and staff meetings

· Contact Social Workers and providers to ensure timely referrals and payment as needed.

· Make sure the facility remains secure by keeping doors and windows locked

· Report all safety/security concerns

· Communicate property/vehicle concerns as needed with maintenance.

· Operate with a goal-oriented team focus

· Maintain positive interactions with clients.

· Attend required trainings and staff meetings

· Maintain a safe and secure environment for children and families.

· Be able to adhere to all policies and procedures

· Provide relief for staff breaks when necessary

· Ensure/track cleanliness of the visitation rooms and vehicles per requirements

· Drive or ride-a-long to transport children to and from visitations as needed

· Supervise visitations as needed

· Provide direct care to children as needed and required including toileting, diaper changing, feeding, redirection, etc

· Do laundry as needed

· Assist with vehicle cleanliness and snow removal as needed

· Additional duties as assigned

SOFTWARE-RELATED SKILLS:

· Proficient in Microsoft Office suite, including Word, Excel and Publisher, etc.

· Have a working knowledge of Lotus Notes or ability to learn related technical skills.

· Office Automation: Multi-line Phone System, Fax Machine, Copier, Scanner, etc.

· Video Camera Security System

PHYSICAL REQUIREMENTS:

· Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis

· Ability to grasp, push, pull, objects such as files, file cabinet drawers, carts, doors, and reach overhead

· Ability to operate a telephone

· Ability to operate a desktop computer

· Ability to access and produce information from a computer.

· Ability to understand written information

· Ability to lift up to 50lbs on a regular basis

· Ability to sweep, clean, shovel snow, and perform other janitorial tasks as needed

Health Insurance: Low bi-weekly premiums for employee-only coverage, Kaiser HMO for those residing in a Kaiser service area, Anthem EPO/PPO is available for those residing outside a Kaiser service area. Voluntary +1 and +family coverage at additional cost. Delta Dental DHMO and DPPO dental insurance are offered.

Life and Voluntary Options. An employer-paid life insurance policy covers employees. Voluntary supplemental life, short-term and long-term disability plans are available.

Retirement Plans: Employer-funded Money Purchase Pension Plan (Defined Contribution Plan) 50% vested at five years eligible service time. Plus, an employee-funded voluntary 403(b) option.

Parental Leave: The benefit is 40 hours of Paid Leave for qualifying events.

Sick Leave: 12 days of Sick Leave annually accruing from day one, eligible for use after three months’ service time.

Paid Vacation:

· Two weeks annually, accruing from day one, for non-exempt positions.

· Four weeks annually, accruing from day one, for exempt positions.

· Accrued vacation is eligible for use after six months’ service time.

Paid Holidays: 13 designated holidays + 1 floating holiday per year
