Position Description:

The Austen Enterprises Bookkeeper is a mission critical member of key staff reporting directly to the Austen President and Vice President. At the highest level, the bookkeeper assists the President, Vice-president and contracted CPA ensuring the smooth and efficient operation of basic accounting functions. The bookkeeper position creates financial transactions and generates reports from that information. The creation of financial transactions includes posting information to accounting journals or accounting software from such source documents as invoices to customers, cash receipts, and supplier invoices. The bookkeeper also reconciles accounts to ensure their accuracy.

Responsibilities:

· Process payroll in a timely manner

· Pay supplier invoices in a timely manner

· Take all reasonable discounts on supplier invoices

· Pay any debt as it comes due for payment

· Monitor debt levels and compliance with debt covenants

· Issue invoices to inter – companies

· Enter bills for companies

· Record cash receipts and make bank deposits

· Issue Deposits to fire alarms

· Conduct a monthly reconciliation of every bank account

· Conduct periodic reconciliations of all accounts to ensure their accuracy

· Submit invoice from sub-contractors to Electrical Project Manager for approval

· Provide information to the external accountant who creates the company’s financial statements

· Assemble information for external auditors for the annual audit

· Calculate and issue financial analysis of the financial statements

· Maintain an orderly accounting filing system

· Maintain the chart of accounts

· Back up when needed in other companies

· Review intercompany Pos

· Report employees no longer active to our insurance department

· Renew vehicle tags

· Match Packing slip to vendor invoice and check for discrepancies

· Answer Phones

· Submit sales taxes

· Comply with local, state, and federal government reporting requirements

· Provide clerical and administrative support to management as requested (Cash Forecasts, Flash Reports)

· Follow accounting policies and procedures

· Respond to emails

Qualifications:

· Associate degree in accounting or business administration, or equivalent business experience, as well as a knowledge of bookkeeping and generally accepted accounting principles

· Excellent customer service and support skills; excellent communications etiquette

· 5 or more years of successful small business administrative office manager support; working with a construction firm a plus

· Superior skills with QuickBooks pushing data in and pulling data out; experience with reports and report writing

· Excellent Microsoft Office skills (Word, Excel); PowerPoint, Outlook email configuration are pluses

· Excellent QuickBooks Desktop Skills

· Good problem-solving skills; ability to work with a diverse labor force

· Employee must be willing to sign confidentiality agreement prohibiting disclosing company confidential and proprietary information, in particular and not limited to: financials, clients and customers, vendors and suppliers without prior ownership consent

· Must have or be able to obtain notary public certification and willing to use it as part of employment

· 2 to 5 references from two or more of the following: previous employers; major customers of employers; volunteer organization leaders where you’ve played a substantial role; educational instructors

· This position requires a successful completion of a drug screening

· This position requires a successful MVR check

· Valid Driver’s License
