JOB DESCRIPTION
TITLE: Accounts Payable/Purchasing Coordinator
QUALIFICATIONS:
1. Minimum High School Diploma.
2. Minimum two years of related work experience.
3. Experience with GAAP Accounting and routine office procedures.
4. Reasonable degree of proficiency in typing, word processing, and relevant computer applications and office equipment.
5. Strong verbal and written communication skills.
6. Required criminal history background check and proof of U.S. citizenship.
7. Pass a physical examination in accordance with statute and board policy.
REPORTS TO: Business Administrator/Board Secretary
POSITION GOALS:
To assist the district’s Business Administrator in the daily operation and function of the business office.
PERFORMANCE RESPONSIBILITIES:
Maintains a complete and systematic set of records in the form prescribed by the Commissioner of Education of all financial transactions of the district.
Records details of school financial transactions in appropriate journals and subsidiary ledgers from such sources as requisitions, purchase orders, etc.
Traces errors and records adjustment to correct changes or credits posted to incorrect amounts.
Properly encumbers purchase orders for the district and processes payments upon completion.
Assists in the daily operation and monitors the workflow and accuracy of the accounts payable function.
Maintains all free/reduced meal applications for district students, both in paper and online, as well as assisting the BA/Board Secretary in the notification of families following each Direct
Certification process.
Maintains petty cash accounting records and reimbursement requests throughout the fiscal year.
Maintains nonpublic transportation forms; Solicits requests for athletic transportation at the beginning of each season.
Maintains the Board of Education meeting agenda and addresses other meeting-related needs
(i.e. receiving agenda requests, correspondences, use of facilities, etc.).
Issues and maintains all public notices for posting.
Performs other duties as assigned by the Superintendent or Business Administrator.
Maintain strict confidentiality regarding personnel, or any other sensitive subject matter, that may become involved in any of the responsibilities aforementioned.
TERMS OF EMPLOYMENT:
Twelve months per year
Salary is to be determined by the Board of Education negotiation process commensurate with relative experience. The performance of this job will be evaluated annually in accordance with state law and provisions of the board's policy on the evaluation of non-certified staff.
