Our client, A large corporate global law firm is looking to fulfill a need for a long-term temporary bilingual English and Japanese (fluent) speaking administrative assistant/secretary. This position will support our client's Los Angeles - Century City office location on a hybrid basis. This temporary assignment would last for about five to six months, with possibility of extension.

Employment Type: Full Time Temporary | M - F | 9am - 5:30pm *Hybrid Reporting*

Pay Rate: $40.00 / Hour

Responsibilities:

Administrative support:

  • Attorney calendar and inbox management (via Outlook). Including scheduling client meetings, reserving conference rooms, planning of A/V needs and client related amenities.
  • Oversee attorney inbox and incoming client correspondence via email, phone, and mail.
  • Coordinating travel, meeting and event accommodations between U.S. and Japan-based legal staff and clientele. Including expense management via (via ChromeRiver).
  • Initiate conflict checks, and new client/matter forms with client profile buildout in client management database.
  • Attorney billable hour tracking (via 3E) and client billing support.
  • Various clerical, administrative and digital service support as needed.

Document Preparation & Management:

  • Prepare, draft, and finalize various documents including general client and internal correspondence, memoranda, and legal materials as required by attorney.
  • Manage English/Japanese word processing and translation of correspondence and legal document.
  • Responsible for proofreading and correctly formatting all materials consistent with firm policy and attorney standard.
  • Utilize iManage document management system as a central repository for all matter and client related documents.

Interacts daily with inter-firm departments to facilitate highest possible legal administrative support to attorney and clients. Including Accounting (check requests, and billing inquiries), Office Services (Mail, FedEx, UPS), Digital Service Team (Printing, Scanning, Faxing).

Qualifications:

Qualified candidates should have a minimum of two to five years prior administrative/secretarial, legal assistant or executive admin experience. A bilingual fluency in English and Japanese is required in this role. Proficiency in Microsoft Office applications, and Adobe Suite and ability to word process quickly with attention to detail. Must possess strong time management and interpersonal skills. This candidate must have strong sense of professionalism with an ability to support a fast-paced environment and prioritize scope of work.
