The Graduate Program Administrative Assistant (GPAA) reports to the Graduate Office Coordinator and supports the Nursing Program in meeting the needs of the master's and post master's nursing students, faculty, Institution and external partners by assisting in initiating, establishing, and maintaining clinical sites, preparing clinical contracts and all related documents, and maintaining ongoing communicating with all stakeholders. Assists with placement, confirmation, communication, and monitoring students in clinical and lab sites including overseeing all student documentation related to orientation, health clearance, completion of mandatory orientation modules, pre and post tests and health clearance. In collaboration with faculty, ensure all agencies provide the appropriate experiences for students to achieve course, program, and NY State Ed and accreditation outcomes. In addition, assists faculty in the simulation labs.

Responsibilities include items in the areas of:

  • Clinical Placement Graduate Program administrative duties
  • Database Management
  • Student and Faculty Health and Requirement Record Management
  • Providing support to Faculty and Department
  • Work Orders
  • Departmental Calendar
  • Mail/Documentation Distribution
  • Manage building and space resources
  • Graduate Records and Files

The successful candidate will have:

  • Professional demeanor and behavior. Strong interpersonal skills.
  • Ability to work with others, as well as being self-directed to make decisions in collaboration with faculty and staff and external stakeholders.
  • Proficiency in Microsoft Office Products including Excel Spreadsheets, google Docs and ability to work independently to create and manage database information with limited errors.
  • Ability to prepare professional quality correspondence and department documents for reports both internal and external.
  • Experience with monitoring budget and supply ordering.
  • Ability to demonstrate initiative, manage issues professionally and independent problem solving.
  • Knowledge of academic environment and supervision experience helpful.
  • Ability to:
    • Develop and maintain excellent working relationships internally and externally.
    • Communicate clearly, professionally, and calmly
    • Exhibit initiative solving problems proactively (in consultation with Graduate Office Coordinator) and to seek help when needed from appropriate sources.
    • Maintain and improve systems (including maintaining and sustaining accurate and detailed reports and records)
    • Be flexible and perform job effectively including adapting to changing situations
    • Manage time to effectively accomplish tasks efficiently (e.g. multi-task)
    • Be a team player

The estimated wage range is $15.00 to $17.00 per hour for 37.5 hours per week for 52 weeks.


Job Requirements:

  • Associate Degree or comparable training and experience.
  • Strong verbal and written communication skills
  • Skills in Microsoft Suite including Excel required.
  • Previous office experience in a fast-paced setting.
  • Ability to organize and complete projects with supervision are essential
