Position Overview

The Peck School, an independent, coed K- 8 elementary school located in Morristown, NJ, seeks an
Advancement Associate to support the administrative, organizational, and planning needs of the
Advancement Office, a small, collaborative, and fast-paced team that oversees the fundraising and
alumni, donor, and parent relations for the school. This role will be important in providing
administrative support to the Director of Advancement, overseeing database management and gift
processing, participating in all fundraising activities and special events, and other duties as assigned.

JOB DESCRIPTION

The Advancement Associate supports all administrative functions for the Director of Advancement. In this role,
the Advancement Associate will maintain and oversee the donor and constituent database in support of all
fundraising, event planning, and constituent relationships of the school, as well as other duties described here
and as assigned.

Overview of Responsibilities

  • Administrative support to the Director of Advancement
  • Manages the Raiser’s Edge database for all constituents.
  • Act as Raiser’s Edge Database Administrator for the organization. Manage Raiser’s Edge donor

database, including maintenance, user accounts, global changes, gift entry, reporting, queries, and

data clean-up projects to provide current, consistent, and accurate data. Develop and deliver clear,
accurate reporting and tracking vehicles and instructions for reports, dashboards, and data extracts.
Create and implement up-to-date Standard Operating Procedures for entry and reporting and ensure
all entries conform to these procedures. Produce all mailing lists from Raiser’s Edge database for
mailings such as invitations, newsletters, and direct mail pieces.

  • Assist with all Advancement and Alumni Office events by processing all event details within the
database, school calendar, and facilities database, maintaining event reservation lists, and providing
ongoing and day-of assistance for events.
  • Integrate and synchronize information systems used in the Advancement office.
  • Schedule meetings, confirm meetings, update calendars, and reserve meeting space.
  • Proofreading support to the strategic communications office to ensure accuracy and excellence in
school publications and all materials.
  • Offer support and assistance to the Peck Parents Association.
  • Attend school-related events regularly.
  • Other duties as assigned.

Qualifications

  • Bachelor’s Degree required
  • Proficiency in Blackbaud Raiser’s Edge is strongly preferred
  • Proficient in Google Suite and web-based software and programs
  • Strong interpersonal and organizational skills
  • Strong written and verbal correspondence skills
  • Ability to multi-task and work independently

  • Communication Skills - Effectively communicates (both orally and in writing) and maintains open
communication channels with peers, administrators, faculty, and parents.
  • Self-Motivation - Able to work independently with a demonstrated eagerness to understand all
aspects of the School's fundraising, communications, and marketing initiatives.
  • Confidentiality – Maintaining constituent information in the strictest confidence, exercising absolute
discretion and professionalism.
