Data Entry Clerk Job at Kingman/Golden Valley Association of Realtors
The Kingman Golden Valley Association of REALTORS® is seeking an Association Executive with great leadership and exceptional communication skills to manage the following responsibilities. The Association Executive reports directly to the Association President and the Association Board of Directors.
ASSOCIATION MANAGEMENT:
- Schedule and coordinate meetings as well as work with the Committee Chairs to prepare agendas and disseminate minutes from the committee meetings. Encourage the sharing of ideas at committee meetings and provide a historical perspective, as required.
- Prepare monthly statistical reports for the Board of Directors (BOD) and public as needed.
- Provide Board packets and any additional reports regarding public and membership inquires according to By-Laws, Policies and Procedures.
- Work closely with current Board President during their term
- Coordinate strategic plans as required by NAR Core Standards and track progress/report to BOD any changes made to NAR By-Laws
- Maintain proof in writing legal counsel is hired by the organization. Interact and consult with Board legal counsel as directed by the BOD
- Develop, maintain, and update Policy & Procedures Manual for KGVAR with BOD approval
- Encourage, plan, and organize broker roundtables for broker input on NAR, AAR and KGVAR issues and activities
- MEMBER & PUBLIC RELATIONS/COMMUNICATIONS
- Be reasonably accessible to members as needed
- Provide regular and consistent communication about events and updates from KGVAR, AAR and NAR
- Work with New Member Orientation Chair respective to new member orientation in coordination with the Professional Development Committee
- Seek prospective education courses and guest speakers
- Review prospective education courses for presentation to members
- Promote REALTOR® image to public highlighting how REALTORS® distinguish themselves by their Code of Ethics
- Promote KGVAR community activities to the public highlighting involvement in various charities and events
- Educate the public about Fair Housing and how REALTORS® exemplify Fair Housing Laws
- Handle and refer all media inquiries to the KGVAR President or another BOD member in accordance with the By-Laws
- Work closing with all standing committees including but not limited to Government Affairs, Professional Development, Community Outreach, Affiliates and Members Services as well as any created Task Force Committees
- Represent KGVAR in community activities and civic organizations
- Update BOD and KGVAR membership with research regarding community activities and real estate issues
NATIONAL AND STATE REALTOR ASSOCIATION
- Meet 90% of NAR Core Standards by September first and ensure KGVAR Bylaws are approved by NAR as required
- Attend AAR meetings as approved in the annual budget and serve on committees while reporting in writing and verbally those proceedings to the BOD and members
- Attend NAR meetings as approved in the annual budget; provide both written and oral reports on those proceedings
- Provide Professional Standards Administration in accordance with KGVAR Bylaws and maintain a contiguous multi-board Professional Standards agreement as per NAR Bylaws
- Track, confirm and maintain Professional Standards Administration certification of REALTOR® members such as Code of Ethics
- Consult with AAR and NAR legal counsel and staff on questions related to Code of Ethics, professional standards, mediation, arbitration, and grievance procedures
- Consult with membership services departments of AAR and NAR
- Ensure AAR and NAR dues are current and in compliance with KGVAR policy for dues’ billing
REALTOR® MULTIPLE LISTING SERVICE (MLS)
- Maintain a current copy of the MLS Bylaws, Policies, Procedures, Rules and Regulations. Consistently updating the BOD to all approved and ratified changes to NAR MLS Rules and Regulations
- Work closely with MLS vendor(s) on contracts and upgrades as approved by BOD
OFFICE MANAGEMENT
- Supervise and perform annual performance review of staff
- Meet with Executive Committee to discuss performance reviews before Annual Budget Meeting
- Maintain confidential and secured staff personnel files
- Oversee office supply purchases and manage office vendors/contracts such as phone, internet, copier
- Coordinate food availability for breakfast, committee, lunch and learns when required and purchase same when needed
- Review building maintenance and provide annual report regarding future maintenance issues
- Schedule and coordinate building maintenance as approved by the BOD
- Review budget process with bookkeeper and accountant
- Implement cost savings when possible, to ensure greatest efficiency and effectiveness
REQUIREMENTS
- High school diploma with a minimum of two (2) year associate degree or equivalent verified work experience
- Excellent interpersonal and communication skills both written and oral
- Strong organization skills both paper and computer
- Accuracy and exceptional attention to detail
- Willingness to work in a small office team environment
- Be willing to be trained and involved in cross-training of tasks and duties
- Capability to handle confidential material
- Capacity to stay neutral in conflict resolution
- General understanding of basic accounting (Quick Books), accounting principles and budget development
- Tech-savvy awareness and ability including but not limited to Microsoft Office, Video/Zoom Conferencing, website editing, social media platforms and introduction of new software programs
