In this role, the Event Coordinator will plan, lead, and execute a wide range of corporate events, guided by our annual Events Plan. Events will range from organizing our presence at large corporate trade shows and conferences, down to full event planning of in- house conferences, and, finally, a range of webinars and digital events. the Event Coordinator will have complete responsibility for supporting the Marketing and Sales Department. company is looking for a strong team player, have a positive and enthusiastic attitude, and who is be able to manage multiple projects under tight time schedules.
Assist in planning, executing, and managing of in person and virtual events, trainings, webinars, seminars and conventions with attention to content and financial & time constraints- Research into competitors, programs, outside events, venues, and vendors that fit the Brand’s marketing effort
- Assist in overseeing each phase of the conference and conventions to ensure they run smoothly (convention summary including market and demographics research, service orders, set-up & tear downs, booth building, lead and attendee metrics analysis, etc.)
- Establishing and maintaining relationships with supply vendors and venue organizers
- Analysis of post-event metrics such as sales conversion trends, attendee demographics, survey results, sentiment, speaker performance, etc.
- Assist Manger in overseeing each phase of the event to ensure it runs smoothly
- Planning for potential scenarios that could impact the integrity of the event
- Process all invoices to vendors, speakers, and KOLs to make sure payments are fulfilled promptly
- Works closely with Marketing, Sales, Design, and Management to achieve business goals through event marketing Minimum Qualifications Must be detail oriented Able to manage time effectively
- Assist Marketing department when necessary, especially when it involves a collaborative event
- Assist manager in planning of event program and schedule for the team and speakers
- Manage and keep inventory of marketing and events assets such as catalogs, banners, brochures, etc.
- Assist in hiring 3rd party personnel as needed across all functions of an event (registration, set up, catering, audio/visual, etc.)
Salary: $45,000 to $50,000/ yr
- Must be detail oriented Able to manage time effectively
- Highly organized and demonstrate strong attention to detail, balancing accuracy with timeliness
- Ability to research, proactively solve problems and make decisions using best judgment when details are unavailable
- Excellent written and verbal communication skills
- Able to multi-task and work independently
- Ability to operate basic office equipment and technology
- Bachelors Degree in Event Planning or related field
- Proficient in MS Office Suite
