Position Summary

Under general supervision performs daily clerical duties in support of outbound shipments to customers, communicates with Customer Service Department to establish proper priority of orders and any special shipping instructions; communicates with trucking companies and parcel carriers to provide pick-up service.

Principal Responsibilities

  • Obtains customer orders via SAP; determines whether orders are to ship UPS, freight container, etc.; determines trucking company via routing guidelines.
  • Prepares Bill of Lading utilizing SAP and Connect ship routines and calculates freight charges by reference to carrier tariff; prepares pallets address labels
  • Identifies and resolves inconsistencies and bring these to the attention of the management.
  • Presents customer orders to order fillers and retrieves for purposes of billing customer; invoices customer once order is filled utilizing SAP programs.
  • Maintains files of shipping orders; compiles monthly reports of work completed by shipping associates.
  • Supports and backs-up the Group Lead with daily workload.
  • Completes daily tasks using RF technology.
  • Blasting & Waving
  • Printing the deliveries, creating the folders for exporting
  • Sending Invoices to Customer Service for shipment approval
  • Printing of the BOL, Invoices & COC’s as needed
  • Booking the FTL/Container Shipments
  • Updating the Stage Report & Sending to the team Daily (Update the ASLA Tab)
  • Updating the Daily Status of the Export Ready Shipment Board
  • Notate the Delivery, Carrier & the Container number on the Export Ready Shipment Board
  • Answering Customer Service Emails
  • Prepare the Export Packing List for Intercompany & ASLA Shipments
  • Ensuring the ASN Labels are attached to the product before exporting our facility.
  • Assisting the Drivers upon arrival, directing the logistic carrier to the designated door
  • Any other duties as assigned by the management team.

Education / Experience Requirements

  • High School diploma or equivalent
  • Computer skills- Microsoft Office products (Excel, Word, PowerPoint), email, along with PC and keyboarding skills required.

Specialized Skills / Other Requirements

  • Ability to interact directly with International and domestic Customer Service employees, distributors, and affiliate customers.
  • Requires the ability to respond to customer inquiries in a calm, professional, and courteous manner through oral and written communications while acting in the best interests of the company.
  • Ability to work independently with minimal guidance and supervision; solve problems; sound decision making; adaptability and flexibility to work various shifts.
  • Ability to read, write, comprehend, and communicate effectively in the English language.
  • Ability to write simple correspondence via email to internal and external customers.
  • Ability to read and interpret variety of Departmental Operation Practices (DOP’s), Standard Operation Practices (SOP’s), and work instructions, with minimal instructions.
  • Utilize basic mathematics to calculate pallet quantities, cube space, truck capacity, and floor capacity.
  • Ability to handle confidential information in a discreet and professional manner.
  • Ability to establish, develop, and maintain effective working relationships with fellow employees.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
