World Relief seeks an Office and Database Coordinator to support for the World Relief Upstate SC office. Ensuring the smooth functioning of day-to-day operations, the key measure of success in this position is the smooth functioning of the office, clear communication between programs, and well-maintained Gift-in-Kind (GIK) databases.
Compensation: $17-$18 per hour
Role & Responsibilities

Facilities
- Triage and manage facility issues as may arise
- Serve as primary contact for staff and landlord on maintenance issues
- Serve as primary contact for the building cleaning crew
- Serve as primary contact for other vendor services.
- Examples may include pest control, shredding, drinking water, and HVAC maintenance.
- Work with the Finance Specialist to order office supplies and maintain inventory
IT and Database Support
- Act as the database (Dynamics) coordinator to endure all GIK, client, and partner information is tracked accurately.
- Collaborate with the Housing Coordinator, Volunteer Coordinator, and other staff to enter data on a routine basis.
- Organize and maintain WR Upstate SC's Microsoft SharePoint information.
- Train current and new staff on utilizing and maintaining WR Upstate SCs database and collaborative software
- Coordinate with phone and internet providers as needed for feature enhancements, outages, and maintenance
Communication
- Answering the phone for general calls from the public
- Answering the door - completing a walk-in form to submit to appropriate program staff member
- Getting the mail to appropriate programs/staff
- Tracking the Upstate, SC email address
- Scheduling office-wide and community meetings
- Collaborate with other staff in the organization of staff retreats and activities
- Assist with bulk mailings for year-end appreciation
- Receipt, log, and distribution of gift cards
Vehicle Maintenance
- Coordinate routine and as-needed vehicle maintenance
- Work with the Finance Specialist to purchase gas cards for office vehicles
Knowledge, Skills, & Abilities
- Detail-oriented and ability to self-manage in a fast-paced environment
- Ability to organize tasks/projects and coordinate others as needed to accomplish
- Strong problem-solving skills to manage multiple and varied tasks
- Fluent in spoken English and excellent written communication skills
- Excellent proficiency in Microsoft 365 programs and applications
- Database and/or CRM experience a plus
- Enjoy working in a fast-paced, challenging, and multicultural environment
- Able to work well with others in a professional, friendly, and flexible manner

- Year-end archiving activities involve repeated lifting and bending.
