This is an Exempt level position (exempt from overtime)


Job Summary:

This position is responsible for creating the bus routes, assigning students, and handling all parent, staff, and contractor communication with respect to student transportation. This position will support the Director of Finance and Operations by acting as a primary liaison with and providing support to the Director of Food Services and the Custodial Supervisor in matters related to the food services program and facilities.


This position will also take on finance related responsibilities within the Finance & Operations office, including but not limited to: Medicaid reporting, reconciliation and tracking of GL accounts, assisting in auditing and reporting, assisting in procurement and other activities as assigned by the Director of Finance & Operations.


Statement of Duties:


Transportation (Significant portion of the job)

  • Manages the daily operations of the district's transportation system
  • Handles all communications regarding transportation with parents, the schools, and administration, both written & verbal
  • Manages the arrangement of transportation for all children including those with special educational needs.
  • Acts as the transportation subject matter expert for the school Analyzes and recommends improvement and enhancement to transportation operations for future implementation
  • Manages a registration process for all transportation students
  • Issues bus passes when needed to address overcrowding or safety concerns
  • Prepares transportation reports, presentations, and budget estimates as required
  • Check and approve all transportation invoices and forward them for processing and payment
  • Ride buses periodically to monitor the performance of the transportation system
  • Investigate and report all accidents related to school bus transportation
  • Represent Marlborough Public School in matters and at meetings concerning transportation
  • Prepare bus routes using Transfinder for MPS, AMSA, SPED in-district, summer school, late buses, and other programs
  • Arranges transportation for out of district special education students and McKinney Vento, and foster students
  • Ensures compliance with applicable federal, state, and local requirements
  • Works collaboratively with school principals, directors and public safety personnel to ensure that services are delivered safely, efficiently and effectively; to monitor late bus/after-hours transportation activities; and to resolve issues and concerns to the satisfaction of school programs
  • Ensure vendors comply with specifications within transportation contracts
  • Ensures district compliance with transportation of students in MPS owned vehicles, including but not limited to, monitoring 7D licenses for MPS employees who transport students, reviewing systems for access to MPS owned vehicles and communicating procedures for MPS employee access to MPS owned vehicles for transportation of students
  • Additional duties as assigned

Operations & Finance


  • Conducts monthly and quarterly reconciliation of GL accounts and report out to relevant stakeholders
  • Monitors school gift accounts and report out to relevant stakeholders
  • Conducts financial portion of quarterly Medicaid reporting
  • Assist the Director of Finance & Operations with formal procurement processes as needed
  • Assist the Director of Finance & Operations with other special assignments as needed
  • Supports Director of Food Services with food service program needs
  • Supports Custodial Supervisor with facilities needs
  • Additional duties as assigned


Qualifications:


  • Bachelor's degree or equivalent experience and high school diploma required
  • Minimum of two years' experience as Transportation Coordinator, Operations Manager, or in a similar role
  • Knowledge of Transfinder or similar transportation software highly preferred
  • Knowledge of MUNIS or similar accounting software highly preferred
  • Must have exceptionable customer service skills. Must be able to work well with the public, staff and students with a variety of backgrounds
  • Must be detail oriented and provide accurate information
  • Must demonstrate constructive, collaborative, and respectful behavior working as part of a team.
  • Ability to effectively meet and deal with the public; ability to communicate effectively verbally and in writing; ability to handle stressful situations
  • Ability to maintain confidentiality
  • Ability to handle large volumes of work and a variety of jobs associated with the running of a busy office in a professional, efficient, and accurate manner
  • Demonstrated knowledge and experience with diverse office technology and equipment especially database, spreadsheets, and word processing
  • Bilingual (Spanish or Portuguese) highly preferred
