Real Estate Operations Coordinator

What You’ll Do:

  • Build, implement, maintain, and OWN all systems for internal communication, team calendar, company social media presence internally and externally, office management, client care systems, team retention and recognition including events, onboarding systems for new agents, and referrals
  • Assist as needed in creating and refining the systems of the team, including but not limited to customer service, lead generation, agent recruiting, and tracking
  • Create and maintain the team’s operations manual that documents all systems and standards that are not able to exist within our technology leverage, Brivity
  • Provide a high level of service for all active and past status clients
  • Oversee all contracts through closing and listing launch
  • Enter listing data, descriptions, and pictures into MLS
  • Coordinate photography, staging, and other listing launch functions
  • Act as the liaison between real estate agents, clients, attorneys, escrow companies, and mortgage brokers
  • Read all aspects of contracts in order to execute obligations and to maintain accurate and compliant transaction files (inspection reports, receipts, bills, etc.)
  • Create timelines and follow-up processes/check-ins with agents to ensure all transaction deadlines are met resulting in a timely closing
  • Prepare all marketing mailings
  • Keep the team leaders informed regarding any problems or issues that arise and help to develop solutions
  • Commit to weekly 1:1 coaching sessions, PLACE trainings, and Brivity trainings

Required Background:

  • 1+ years of database management experience
  • 1+ years of operations/administrative experience
  • Ability to write reports, business correspondence, and procedure manuals.
  • Requires a prior work history that demonstrates strong, successful systems abilities and solid understanding of complexities of a process flow and lean processes.

Other Details:

  • Compensation DOE, range from $40,000-50,000, with an addition compensation in the form of a bonus structure
  • We have a hybrid work model with the expectation to transition into an in-person office setting in the near future
  • California Real Estate License not required, but considered a bonus
  • This role may travel 1-2 times per year locally or out of state for conferences
