We are seeking a Receptionist for our New York office. This position handles three key components of work in the office and is key to servicing our clients. As a first point of contact for our clients and visitors at the reception desk, you will provide a warm, professional welcome for our visitors. You will also handle incoming calls in an efficient, goal-oriented manner. Along the same client service line, you will participate on the hospitality team that sets-up for events, arranges the food esthetically and completes the breakdown for the event. The third component is handling various administrative work for the practice teams as delegated by the legal teams. Do you excel at providing excellent customer service? In this role, you will:

  • Answer and direct incoming calls, greet clients and customers, and provide concierge services to clients and Firm members.
  • Promote and maintain the good will and reputation of the Firm by maintaining the highest level of professional conduct and confidentiality.
  • Present an image consistent with a professional services firm and a demeanor representative of Dorsey’s client service culture.
  • Schedule visiting attorney offices and provide administrative services to visiting attorneys. Send visiting attorney schedule to the office.
  • Maintain a clean and uncluttered work area, ensuring sensitive or client information is protected.
  • Coordinate and reserve conference rooms, calendar accordingly.
  • Prepare conference room for meetings, arranged lunches and greet clients.
  • Save e-mail to the network and perform document management filing.
  • Prepare and send Public Access Folders.
  • Assist with time entry and review.
  • Assist with various database projects, including uploading documents and adding key dates in appropriate databases.
  • Assist with payment request forms; prepare expense reports.
  • Process vendor invoices.
  • Scan and photocopy documents; create/edit PDF’s.
  • Proofread documents.
  • Assist with large mailings, prepare outgoing mail; prepare FedEx labels.
  • Prepare cover letters or correspondence.
  • May perform other tasks as requested.

What we’re looking for:

  • High School diploma or G.E.D. equivalent.
  • Accurate typing skills of 40 w.p.m.
  • Ability to work independently and adhere to deadlines and priorities.
  • Ability to effectively work with all levels of personnel.
  • Analytical ability, very good attention to detail and organizational skills.
  • Willingness to learn new computer software and customized databases.
  • Good verbal and written communication skills.
  • Working knowledge of MS Office suite.
  • Excellent attendance

The pay range for this position in New York City only is $27.35 to $31.85 per hour.
