As part of the Talent Acquisition & Development team, the Coordinator will assist with onboarding new employees from offer and pre-boarding documents through employee day. The Coordinator will play an essential part of the recruiting process and is critical to providing best in class candidate experience in a professional, diligent, responsive, and proactive manner. This individual will partner closely with the Onboarding team to ensure the candidate’s onboarding experience is seamless and will be integral to our new employees’ initial experience of our firm.
Responsibilities:
- Manage various administrative tasks related to onboarding new employees to the firm, including the creation of personnel files, coordination with internal teams to ensure everything is ready for new hires, updating internal resources and announcements pertaining to employee changes.
- Assist with drafting offer letters for successful candidates, coordinating with various stakeholders, including Legal and Compensation, on non-standard language and structures and ensuring compliance with regulatory and state legislation requirements regarding restrictive covenants.
- Provide continuous communication about new-hire related paperwork and extend candidate care throughout progression of onboarding process through employee day one.
- Assist with the management of pre-boarding document requirements for candidates, including work eligibility forms and other forms complying with federal and state legislation.
- Field questions from pending hires and various internal stakeholders regarding the onboarding process and documents in the Talent Acquisition & Development shared inbox.
- Process background checks and resolve any obstacles in the verification process.
- Create employee records and populate all relevant information in the HRIS (Dynamics 365).
- Assist with the I-9 Employment Eligibility Verification and E-Verify processes.
- Develop relationships and collaborate with the businesses, Human Capital, Compliance, Technology, and Office and Guest Services to deliver a streamlined process and outstanding, supportive experience for new employees.
- Work closely with the Onboarding team to identify and implement process improvements on the onboarding process.
- Administer onboarding survey for new hires and analyze onboarding survey results to identify areas of opportunity to be addressed.
- Assist with the maintenance of various new hire and hiring manager user guides, checklists, and other process documentation.
- Maintain accurate documentation in the applicant tracking system (ATS).
- Provide administrative support and project help to Talent Acquisition & Development and Human Capital, as needed.
- Bachelor's Degree in Business, Human Resources, or a related field.
- 0-3 years of experience in Human Capital, Talent Acquisition, HR Operations or Onboarding.
- Strong data entry, communication, client service, project management, problem-solving, and analytical skills.
- Ability to work in a fast-paced environment and take ownership of a process, while exercising judgment to update stakeholders appropriately.
- Works well under pressure, strong attention to detail, prompt with follow up and responsiveness, and is a team player.
- Ability to use discretion and handle confidential, sensitive information.
- Detail-oriented self-starter who can multi-task and drive multiple processes to conclusion within specified timeframes.
- Maintain clear and accurate operations procedures and shared drive.
- Familiarity with one or more applicant tracking systems and/or HRIS systems a plus (ICIMS/Dynamics 365 preferred).
