Job Title: Remote Medical Assistant
Reports To: Clinical Manager
Job Overview: Medical Assistant will conduct incoming and outbound calls utilizing skill set to assist patients with appointments, medical, medication concerns, and additional inquiries regarding their healthcare.
REMOTE MEDICAL ASSISTANT SUMMARY OF FUNCTIONS
Responsible for assisting patients in a remote environment and taking care of patient concerns. The Remote Medical Assistant will be responsible for conducting 80-100 inbound / outbound calls per day. Will integrate with the Front Office and Clinical teams to ensure schedules and clerical tasks are completed on a daily basis.
REMOTE MEDICAL ASSISTANT ESSENTIAL DUTIES AND RESPONSIBILITIES
Front Office:
1. Rescheduling patient appointments per CVAM’s rescheduling policy. Must be able to meet deadlines set for tasks.
2. Assist Front Office team with clerical work and complete desktops for their assigned providers.
3. Promptly assist with incoming and outgoing patient calls.
Back Office Duties:
1. Responsible for completing triage assignments and contacting patients within 24 hours for clinical concerns.
2. Responsible for prescription refill authorizations, prior authorizations, appeals, patient assistance, and tier exemptions.
3. Will assist Clinical Medical Assistants with clerical work and complete desktop for their assigned providers.
Patient Portal:
1. Responsible for approving patient appointments and assisting patients with scheduling options.
2. Assist with prescription refill requests.
3. Triaging patient portal entries and working with healthcare providers to provide patient with feedback regarding their healthcare.
Medical Records
1. Assist with requesting medical records and fax request as instructed by patient or healthcare provider.
2. Import patient medical records within 24 hours of patient encounter.

- Ability to multi-task effectively.
- Must be able to act calmly and effectively in a busy or stressful situation.
- Ability to clearly communicate effectively in the English language in person, by phone and in writing.
- Hearing adequate to perform job duties in person and over the telephone.
- Vision acuity adequate to perform job duties, including reading information from printed sources and computer screens.
- Requires adherence to all policies and procedures, including but not limited to standards for safety, attendance, punctuality and personal appearance.
- Must be able to establish and maintain effective working relationships with managers and peers.
- Exposure to Blood Bourne Pathogens (BBP) and Other Potentially Infectious Materials (OPIM) is rare but possible. Vaccinations and training are offered upon hire.
- This position is safety sensitive.
- Participation in new hire and annual training is a condition of employment.
- Maintains strictest confidentiality.
- Other duties as assigned.
ORGANIZATIONAL RELATIONSHIPS
Reports to the Front and Back Office Lead, Front Office Manager, and works collaboratively with respective department.
REMOTE MEDICAL ASSISTANT QUALIFICATIONS
· 1-2 years healthcare experience as a Certified/Registered Medical Assistant with active certification
- Technology experience - preferably with multiple EMR/EHR systems, but at a minimum familiar with Microsoft Office, Team Chat, Excel products and comfortable learning new software quickly
- You will be the voice of our company, on the frontline speaking with the patients, so you must be:
- highly professional on the phone.
- able to maintain a compassionate and engaging tone even with distrustful or unhappy patients.
- quick thinking to respond in the moment to patient questions and needs, with strong critical thinking skills to ask appropriate follow-up questions and prioritize what you learn from patients.
- someone who enjoys working with a wide variety of personalities.
REMOTE MEDICAL ASSISTANT PHYSICIAL DEMANDS
Ability to communicate orally with patients, physicians, advanced practice providers, nurses, insurance carriers and others is crucial. Regular use of the telephone is important. Standing, walking, or sitting for extended periods is common. Hearing and vision within normal ranges is helpful for normal conversations, to receive ordinary information and to prepare or inspect documents.
Heavy lifting is not expected. Exertion of up to 10 lbs of force occasionally may be required. Good manual dexterity for the use of common office and medical equipment such as computer terminals.
Good reasoning ability is required. Able to apply math skills and other analytics as required. Able to maintain emotional stability to cope with human suffering, emergencies, and other stresses. Able to understand and utilize management reports, medical charts and other documents to conduct business.

REMOTE MEDICAL ASSISTANT WORK ENVIRONMENT
- You must be able to work 38 hours a week, where you will be speaking to patients on the phone, staring at a computer screen, and sitting or standing at a desk for 8 hours a day.
- You must have a home office set up that will allow you to speak privately and maintain confidentiality with patients. If you live alone, that could be your living room, but if there are any other people at home with you while you are working, you will need to be in a room with a door that shuts. Please note that this role is not compatible with being the caregiver for young children or dependent adults during your scheduled shift - your focus must be entirely on your patients and your patient interactions must be private.
- You will be required to provide your own computer and we will coordinate a Remote Desktop and Cloud based phone to be able to make patient calls and do your job.
- a second monitor (so that you can have multiple windows open with different software and resources all available at the same time).
- fast and reliable internet, i.e., internet speed equal to or greater than 25mbps; please note that satellite internet service is not sufficient for this role
- You must be highly self-motivated, organized and able to work independently - you will be held to a high standard of quality and productivity for work that you are doing on your own.
- At least 6 months in a Call Center environment is a plus
- Experience serving a geriatric population is a plus
- Care coordination experience is a plus; practice triage experience is also valuable
- Experience working in a collaborative, fast paced, entrepreneurial environment is ideal
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
