Job Title: Welcome Desk Assistant Manager. – FLSA Status: Non-exempt, Full time

Reports To: Membership Director

Position Summary

*****Looking for an energetic upbeat leader to fill scheduled hours either between 11:00am - 7:00pm OR 12:00pm - 8:00pm Monday - Friday!*****

This position is responsible for service to members, answering the telephone, transferring phone calls, registering new members and program participants, general knowledge of information and maintaining membership records. This position trains and oversees welcome desk staff, manages the work schedule in coordination with their supervisor. The assistant manager additionally approves and verifies Welcome Desk employees’ payroll. This position is responsible for administrative and marketing support of the Membership Director. This position will act as a primary reference to the Y’s CRM system, Daxko. They will be responsible for maintaining the integrity of the membership related forms and files. This position will oversee and upkeep, in conjunction with other departments, the YMCA social media, website accounts.

Qualifications

  • Sincere, customer friendly disposition.
  • Ability to communicate with the public.
  • Must be able to successfully pass a background check.
  • Must be 18 years or older.
  • Must have at least a high school degree.
  • Good phone and interpersonal skills and be friendly at all times.
  • Willingness to learn and a desire to be successful at the position.
  • Requires CPR certification or the ability to obtain within 90 days of hire.
  • Knowledge of general office procedures and process
  • Ability to perform a variety of clerical duties.
  • Must possess the technological skills to operate the different social media platforms.
  • Must possess good time management skills and be able to multi-task.
  • Must be able to effectively communicate with staff, and members in a positive manner.
  • Previous management and/or customer experience preferred.
  • Cash handling experience.

Job Responsibilities

  • Provide good customer service to members.
  • Register members and enroll class/program participants.
  • Maintain the cash drawer – opening and closing procedures and accounting of Daily Cash Receipts.
  • Ensure the front desk cash drawer maintains enough change and small bills for daily operations.
  • Print program rosters on a regular basis and as requested.
  • Answering and transferring calls and taking efficient messages – 2 ring max.
  • Answer questions clearly and correctly.
  • Monitor members as they enter for current membership status.
  • Maintain Day Pass Records.
  • Print various reports regularly – new member, cancels, NSFs, Type by Status, Scholarship, and any others as needed.
  • Maintain employee contact list.
  • Perform clerical duties as required – make copies, scan documents, create/update spreadsheets, process mailings, research projects, monthly newsletter, etc.
  • Maintain records associated with fundraising campaigns.
  • Assist with Scholarship administration as needed.
  • Maintain Corporate Membership records – billing, enrollment, cancellations.
  • Check the suggestion box and log them.
  • Keep social media platforms updated with the most recent information.
  • Schedule at least one post daily of information and updates on happenings in all areas of the YMCA
  • Create promotional flyers and other materials as needed.
  • Work to maintain and increase member engagement with YMCA social media.
  • Maintain communication with members who use social media for questions/concerns.
  • Keep information on the website up to date.
  • Maintain insurance programs and submit usage monthly.
  • Approve payroll twice monthly.
  • Must schedule and attend mandatory bi-monthly welcome desk meetings.
  • Assist in scheduling for Welcome Desk supervisor to approve.
  • Must be able to train and maintain welcome desk staff.
  • Other duties as assigned.

Job Type: Full-time

Pay: $10.00 - $12.00 per hour
