SUMMARY:

Responsibilities include performing support to the day-to-day activities of the designated office and supporting all staff.

ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Assist with Client Depositors in Acumatica, new account setup, filing, recording data including invoicing, payments, inventory
  • Inactive Accounts: Scan and shred terminated and inactive files and archive on the web
  • File maintenance/archiving of tank room documents
  • Answer phone calls and respond to client inquiries; as needed, direct calls to the appropriate staff member
  • Contact clients regarding past due balances
  • Assist with collections tasks, as assigned
  • Provide clients with requested documents via email or mail
  • Process inbound client documents, adding notes to client account in Acumatica and delivering information/files to appropriate staff
  • Assist in monthly billing of client depositors
  • Monthly billing clean-up tasks
  • Process accounts for termination
  • Prepare shipping documents
  • Create UPS air bills, as needed
  • Receive, sort, and distribute mail, and process checks
  • Manage the Customer Portal, Fax, Info, Billing and DocuSign Forms inboxes by responding to inquiries, distributing/processing documents, as assigned
  • DocuSign File organization/review/follow-up
  • File Reviews
  • Follow up on Auto Charge Declines, Financial Assistance, Minor Clients, Deceased Client Depositors, etc.
  • Third Party billing tasks, as assigned
  • Contact clients for updated addresses/contact information, as needed
  • Ongoing completion of Administrative Training Tasks for Office Assistant

SECONDARY DUTIES and RESPONSIBILITIES:

  • Accompany CSAs on clinic visits
  • Order Office Supplies
  • Quarterly Recording of marketing supplies and inventory
  • Perform duties as outlined and other duties, as assigned

QUALIFICATIONS:

  • High School diploma or GED, diploma or transcripts required
  • One year of relevant office experience
  • Excellent verbal and written communication skills
  • Excellent organizational skills and strong attention to detail
  • Flexibility and a positive attitude
  • Self-motivated and team player
  • Ability to perform light lifting, up to 10 lbs.

Job Type: Full-time

Pay: $17.24 per hour
